Position Summary

The Dispatcher / Scheduling Coordinator is responsible for keeping the daily schedule organized, bookable, and efficient. This role manages incoming calls, web leads, customer scheduling, crew assignments, route adjustments, and end-of-day readiness so that our crews can serve customers well and stay productive.

This person must be responsive, organized, calm under pressure, and focused on one core idea:

Always be available.

That means answering calls, calling customers back quickly, keeping the schedule open for bookings, reducing crew dead time, and making sure every job has the information needed before the crew arrives.

Skills and Qualifications

The ideal candidate is:

A successful Dispatcher / Scheduling Coordinator will:

  •  Keep missed calls and delayed callbacks to a minimum. 
  •  Book jobs quickly and accurately. 
  •  Keep web leads from sitting unanswered. 
  •  Reduce crew downtime. 
  •  Keep trucks and containers ready for the next day. 
  •  Make sure crews have accurate job notes. 
  •  Assign the right crews to the right jobs. 
  •  Help customers feel confident and taken care of. 
  •  Keep the schedule profitable, flexible, and organized.

  • Assign crews before jobs are dispatched.
  • Confirm access notes and special instructions.
  • Know what is in the trucks and containers at the end of the day.

Physical Requirements

This is primarily an office/dispatch role, but the employee may occasionally need to:

  •  Walk around trucks or containers to check status. 
  •  Communicate with crews in the field. 
  •  Look at photos or job details to help estimate job needs. 
  •  Assist with basic office or operations tasks as needed. 
Work Environment

This role works closely with the owner, crews, estimators, drivers, call center, and customers. The environment is fast-moving, and priorities can change quickly throughout the day. The right person will be able to stay calm, communicate clearly, and keep the day moving even when plans shift. This jjob can be conducted at home with occasional in-person meetings or truck inspections. 

Summary

The Dispatcher / Scheduling Coordinator is a key part of the operations team. This person protects the schedule, supports the crews, serves the customers, and helps the company capture revenue by being responsive and organized.
